Week 3&4

After two weeks of internship in BR, the tasks assigned to me became more complex and challenging. Ms. Jessica, one of my seniors assigned me to check with the daily summaries listing of transporters and company’s dockets. My duty was to ensure that the information from the company’s docket is match to the daily summaries listing of transporters. Basically, the company’s dockets are official receipts for transporters to claim their pays and at the same time to show the destination of stocks deliveries. Since BR has its subsidiary which is called as the Cabaran Roadbase Sdn Bhd, the transporters provide delivery in both Bertam Roadbase (BR) and Cabaran Roadbase. I was quite shock at the beginning as there were few hundreds of dockets which I was required to check and the dockets are all mixed up. Before matching the information in both summary listing and dockets, I sort out the dockets according to the Bertam Roadbase and Cabaran Roadbase so that it is easier for me to check for the information of the dockets. For example, the information of the dockets that I need to check includes the ticket numbers, delivery numbers (D.O), trucks numbers (Lorries’ number plates), date (Time of delivery), particulars (what stocks had delivered), destinations (which company delivered to), selling price and total amount (total revenue).
After I ensure that the information of the dockets were matched to the summary listing, I was asked by Ms. Jessica to key in the data such as date of delivery, net weight of the stocks, payment rate, total amount and ticket’s number in remark column according to the vehicle number plate into an Excel file. After I key in all these data into Excel file, I was required to calculate the total payment for the transporters to claim for their wages of the month. The challenging part job is that I was given a tight deadline to complete this task since it was near to the end of the month and the final payment of the transporters needed to be concluded before the month ends. Therefore, I was given such responsibility to ensure that there were no errors on the calculations of the total payment amount of the transporters. Since I was only given with short period of time to complete this task, I need to be extra careful in calculating the amount of payment and ensure that the amount was accurate.
Moreover, my senior also assigned me to handle other tasks such as filing, photocopying documents and preparing follow up letters. At this point, it was quite hectic for me as I know that I work were piling up day by day. However, I told myself to work hard in order to achieve success and excel in my work performance. From here, I learnt to prioritise my work whereby I need to sort out the work according to the deadlines. I will work on the job that has the nearest deadline from the present date and once I have completed, I will proceed to the following job. I will tell myself to finish as much work as possible so that my workload will not be accumulated.
