Week 11&12

Time flies, these would be the last two weeks and my internship is coming to an end. In these two weeks, I was asked to temporary take over the position of being a receptionist as the current receptionist has gone to maternity leave for two months. I felt quite interesting in taking over this position since I was in the accounting department doing more of accounting related tasks in the past few weeks of my internship. From now, I will take the role of being a receptionist and at the same time helping out with my seniors from accounting department.

 

In this final two weeks of my internship, my work station had moved to the ground floor where the receptionist will be placed. Before replacing this position, my senior briefed me on my duties that I need to perform as a receptionist of BR. The primary duty as a receptionist at BR is to greet visitors to BR whereby if there is any guests arrive, I need to warmly welcome them as well as answer basic questions regarding about the company sections placement and sometimes the availability of staff that they are looking for. Besides, I am also responsible for answering incoming calls and sometimes I am required to routes the calls to proper recipients. At first, I was quite afraid and felt pressured whenever there are incoming calls as this was my first experience in performing this duty. Fortunately, I recalled the time during my studies, Business Communication had taught me about the proper way to communicate with people in workplace. After answering several incoming calls, it had trained me to speak appropriately and I became braver to talk on the phone with clients. From here, it helped me to enhance in terms of my communication skills and also enabled me to build up courage.

 

Other than this, I was also instructed to courier invoices prepared by staffs from accounting department to BR’s customers. Therefore, my job was to insert each of the invoices into envelops appropriately and then paste stamps onto envelop accordingly. Besides, there were also private and confidential documents which were required to be sent to customers, so I need to sort the documents according to customers’ address and make correct deliveries. As an accounting student, I can say that being able to replace this position of receptionist would be a good experience for me. This is because I can not only obtain and understand the roles of an accountant in a company, but also the roles of a receptionist.
